Senior leadership meeting platform
A personalized, interactive environment carrying tailored schedules, live polls and Q&A, a podcast and pre-read library, and self-bookable well-being sessions.
Challenge
Two hundred senior leaders, three days, and an agenda dense with plenaries, breakouts and working sessions. At that scale the logistics start to consume the content: people spend the meeting working out where they should be, the pre-reads go unread because they arrived by email three weeks earlier, and the conversations that were supposed to happen between sessions do not.
The organization also wanted the meeting to be genuinely sustainable for the people in it — three days of back-to-back sessions produces diminishing returns somewhere around lunchtime on day two.
Solution
We built a personalized environment that carried the whole meeting. Each leader saw their own schedule, built from the sessions and breakouts that applied to them, so nobody had to reconcile a master agenda against their own name.
Live polls and Q&A ran through the plenaries, so a room of two hundred could answer a question in a minute rather than hearing from the four people who speak at that scale. A podcast and pre-read library sat behind the agenda, available before the meeting and still there afterwards.
Well-being sessions were self-bookable rather than scheduled — the difference between an organization saying it cares about sustainable working and one designing for it.
Impact
The meeting ran across three days as a single connected experience rather than a sequence of rooms, with a pre-read library that was actually used because it lived where the agenda did, and a record of what two hundred leaders said in the polls that outlasted the meeting itself.
