Challenge

A global beverage company needed to run a high-impact strategy engagement for its leaders, guest speakers and subject-matter experts — with roughly a quarter of the room joining remotely. The brief was not simply to stream the event. It was to make the remote experience as valuable as the one in the room, so that a leader on a laptop in another timezone contributed as fully as a leader sitting three meters from the stage.

Solution

We designed a three-day hybrid experience built around a single digital layer rather than a stack of separate tools. Pre-work opened the conversation before anyone travelled. During the event, 120 participants in the room worked through SmartLab on their own mobile devices while 40 remote participants joined on laptops and tablets through the same interface — the same polls, the same ideation boards, the same content.

Fifteen speakers presented on stage and fifteen more were broadcast into the room, with live Q&A, polling and content sharing running throughout. Because in-room and remote contributions landed in the same place, facilitators could read the whole room at once instead of managing two audiences.

Impact

The engagement ran as one event rather than two: one platform, one live stream, one set of outputs. Thirty guest speakers and subject-matter experts contributed across the three days, and remote participants generated input alongside those in the room rather than watching from the outside.

Challenge

A global organization was implementing Salesforce across its business. The technology was not the hard part. The challenge was making sure the change was understood, adopted and embedded — spanning requirements definition, solution piloting, training for sales teams, and engagement with everyone else whose work the platform would touch.

Solution

Working in partnership with the systems integrator, we covered the full change and enablement journey rather than the training slice of it. That meant sitting inside requirements definition so the enablement reflected what was actually being built, running pilot activities to test both the solution and the way it was being explained, delivering training for sales teams, and running a broader engagement program for the wider organization.

SmartLab provided a single environment for the whole journey: resources, learning content, communications and implementation updates in one place, with the delivery team able to manage engagement across different audiences and phases from the same platform.

Impact

The rollout was supported end to end rather than in handoffs between the integrator, the training function and internal communications. Sales teams were trained against the solution as built, and the wider organization was engaged through the same channel that carried the implementation updates — so what people were told and what they were asked to do stayed aligned throughout.

Challenge

A global humanitarian organization needed to develop critical skills courses for a diverse international audience, many of them working in emergency areas. The audience had less time and less bandwidth than any corporate learner, and content written for a head office would not survive contact with the field. Whatever we built had to be practical, culturally relevant, and short enough to complete between operational demands.

Solution

We co-created the program with the organization, representatives of the audience itself, subject-matter experts and instructional designers — the audience representatives mattered most, because they were the check on whether an exercise was realistic in the environments people were actually working in.

The result was a four-week blended course combining virtual and face-to-face components. Each week paired a virtual classroom session with self-learning modules, individual exercises and peer or group activities, all in bite-size, practical content. SmartLab carried the learner journey across the weeks, so a participant returning after three days in the field could see exactly where they were.

Impact

The course reached a global, field-based audience without assuming stable connectivity, uninterrupted time or a shared cultural starting point — and delivered practical skills in a format that fitted around emergency work rather than competing with it.

Challenge

A global organization was rolling out SAP SuccessFactors as part of a wider HR transformation. The system was the visible part; the real problem was that people needed to understand new ways of working, work out what their own role now was, and adopt a new operating model — across the whole enterprise, at the same time.

Solution

We built an engagement and enablement program rather than a communications campaign. Communication, role enablement and new ways of working were designed as one thing, with solution-focused activities that let people work through what the change meant for their own job rather than reading about it.

SmartLab was the central platform for the whole journey: a single place to access content, take part in activities, contribute feedback and see how the new operating model applied to a specific role. Because feedback came back through the same channel that carried the content, the program could respond to what people were actually struggling with.

Impact

Adoption of the new operating model and HR system was accelerated across the enterprise, and the approach was subsequently adopted internally as a best-practice model for change programs.

As one participant put it: “This is pretty amazing to have such a tool to support the transformation.”

Challenge

A global organization needed to upskill 8,000 HR associates to deliver the pillars of its HR strategy and engage directly with leaders. The content was strategy and compliance material. The rollout ran for six months. Nothing about that combination naturally holds attention, and the risk was a well-built site that nobody returned to after week two.

Solution

We built an interactive engagement and learning site and released content into it in sequence rather than all at once, pacing the release against the strategy pillars. Teaser trailers went out ahead of each release. Interactive learning videos carried the substance. Around them sat online games, physical role-playing games and competitive team-based gameplay tied to whichever pillar was live.

The competitive element was deliberate: it gave associates a reason to come back that had nothing to do with compliance, and gave teams a reason to talk to each other about the material between releases.

Impact

Across the six-month campaign, the five online games were the most interacted-with elements on the entire site — ahead of the videos and the reference content. More than 20 videos were released alongside them, and the periodic release schedule sustained engagement across 8,000 associates for the full duration rather than front-loading it into the launch week.

Challenge

A financial services think tank needed to bring senior participants and remote subject-matter experts into the same future-focused strategy discussion — and leave with prioritized actions rather than a good conversation. The constraint was time: two days to move from open-ended expert input to decisions the organization could act on.

Solution

We designed a two-day hybrid format that made the path from insight to decision explicit. A pre-event survey and pre-work established where participants already stood. On the day, forty participants worked in the room on iPads against a single plenary screen, while five remote subject-matter experts joined by video and live stream to inject specialist input at the points where it mattered.

Breakout groups captured their thinking directly into SmartLab and reported back into plenary, where the room polled and prioritized in real time. Talks were driven by the live data rather than a fixed running order, so the agenda followed where the room actually was. The final session mapped the prioritized material into actions and recommendations with named owners.

Impact

The forum closed with a prioritized set of actions and recommendations rather than a summary document. Because every contribution — pre-work, breakout output, plenary vote — was captured in one place, the facilitators had a live view of where the room stood at each stage, and the output was complete when participants left rather than weeks later.

Challenge

A global organization wanted an executive development program for its female leaders that was practical rather than ceremonial — one that strengthened pragmatic leadership, built genuine innovation capability, and sent participants away with ideas they could apply rather than a certificate.

Solution

We designed a 12-month blended development journey. Participants ran action research initiatives on innovation and digital transformation trends, working on real business challenges from their own parts of the organization rather than case studies. Practical leadership toolkits ran alongside, giving them something to use between sessions.

At the center of the year sat a three-day immersive innovation workshop where the research came together and ideas were pressure-tested. SmartLab connected the whole journey — live events, learning content, action research and collaboration in one environment — so participants could keep refining their thinking after the workshop rather than losing momentum when they went back to their day jobs.

Impact

Participants left with tested ideas rather than notes. Because the action research was drawn from live business challenges, the work produced during the program had somewhere to go, and the most promising ideas were given ongoing support after the 12 months ended.

Challenge

A global organization needed to move 200 senior leaders through an immersive development experience without diluting it into a single mass event or fragmenting it into 11 unrelated ones. Each cohort needed to feel like its own experience; the program needed to stay consistent enough to say something coherent about leadership across the enterprise.

Solution

We designed a blended engagement journey delivered across 11 cohorts, hosted on SmartLab. Each participant began with onboarding and a 360 assessment, followed by a one-to-one feedback debrief. The cohort then came together for an on-site immersion event and team debriefs, and continued afterwards through peer coaching sessions, one-to-one coaching, self-learning and masterclasses.

The platform gave each cohort a dedicated space while holding the program structure constant underneath. Between live moments, participants accessed content, followed their own journey and shared takeaways with their cohort — which is where most of the reinforcement happened, rather than in the room.

Impact

Two hundred senior participants completed the Enterprise Leadership Experience across 11 cohorts. Running the program through a single platform kept it scalable and repeatable while preserving the intimacy of cohort-based work, and strengthened participants’ ownership of the leadership commitments they made.

Challenge

A global organization needed to support leaders newly promoted into role and working across different locations. They had the title but not yet the clarity: what the responsibilities now were, who they needed to collaborate with, and how to work practically inside an operating model that was itself new.

Solution

We built a gamified leadership and role-enablement experience that treated the role itself as the curriculum. Leadership topics were delivered through interactive classrooms and e-learning, then applied immediately through practical assignments, pod work and use cases drawn from the participants’ own situations.

A virtual workshop series brought multi-disciplinary groups together to work through collaboration needs across role types. Expert coaching and one-to-one sessions ran alongside, with collaborative discussion spaces, media content and toolkits available throughout on a single platform.

Impact

The program has been repeated through multiple cohorts across several years — the clearest signal available that it works, since a leadership program that does not land is not commissioned twice. Leaders came out of it able to describe their own mandate and accountabilities, and to name the people they needed to work with to deliver them.

Ludic believes that creativity and innovation should go hand in hand with responsibility. Sustainability is not just a trend for us—it’s a commitment to building a future where businesses, people, and the planet thrive together.

Why Sustainability Matters to Us

As a forward-thinking company, we understand that every decision we make has an impact. From the way we operate to the solutions we create; we are dedicated to minimizing our footprint and maximizing positive change.

People & Culture – We promote a work environment that values ethical responsibility, well-being, and inclusivity.

Planet – We strive to reduce waste, lower our carbon footprint, and integrate sustainable practices into our operations.

Progress – We design innovative solutions that help businesses become more sustainable and future-ready.

Our Commitment

We are continuously exploring new ways to improve—from our processes to the partners we collaborate with. By embedding sustainability into our core values, we ensure that our impact is not only meaningful but also lasting.

Sustainability isn’t just important to us—it’s essential to the way we work, create, and grow.

The How

To monitor our progress in this area we submit to Ecovadis and CDP on an annual basis along with calculating our Carbon Footprint in order to set targets for improvement.

CDP

A CDP score is a snapshot of a company’s performance on environmental action. Bold environmental action must begin with an accurate, transparent assessment of environmental impact and progress, which CDP scoring makes possible. Our scores show organizations and their stakeholders where they are on the road towards operating in line with a 1.5-degree, deforestation-free and water-secure future. By disclosing over consecutive years, we can understand the trajectory of our environmental journey.

This year we received a C- Climate score. For an SME that is a fantastic place to build from. The highest SME score in 2024 is an SME B and will work to reach that for our next submission.

Ecovadis

Ecovadis is a third-party platform that assesses a company’s sustainability performance. It helps companies improve their environmental and social practices. EcoVadis compares the company’s performance to other rated companies in its database.

We are proud to have been awarded a Gold Medal this year, putting us in the top 5% of those scored.

Carbon Footprint

We are about to get to work calculating our Carbon Footprint for 2024, this being our third year of collecting data. In 2023, our carbon footprint was 18,213.49 kg CO2 this was down from 19.48 in 2022. For context, this corresponds to the carbon footprint of two Europeans. This is fantastic progress, and we will continue to work on reducing this where possible.

Climate Project

We compensated for our carbon footprint by contributing to a social project. In 2024, we supported The Plastic Bank who are tackling ocean-bound plastics, whilst empowering local communities.

Every minute, the equivalent of one garbage truck of plastic enters the ocean. It is a serious issue requiring urgent action. The Plastic Bank project aims to catch plastic waste before it reaches the ocean by supporting local communities to collect plastic in exchange for additional income and life-changing benefits. As a result, the project has a positive impact on society as well as the environment.

How does it work exactly? Plastic collection points are established in coastal areas particularly affected by plastic pollution and poverty. At the same time, the project empowers local people, often living in poverty, to become members and collect plastic before it can enter the ocean. At the collection branches, members can exchange the collected plastic for money or benefits such as health, work, or life insurance, grocery vouchers, or school supplies. The collected plastic is cleaned, sorted, and recycled into Social Plastic® – feedstock that is reprocessed and reintegrated into products and packaging, creating a circular economy.

Currently, the project is active in six countries: Brazil, Egypt, Indonesia, and the Philippines, with license-based expansion in Cameroon and Thailand.

Our contribution has helped The Plastic Bank to remove 4,178,474kg of plastic removed from the ocean with almost 27,000 active plastic collectors, offering work insurance and health insurance to thousands of people in Brazil, Cameroon, Indonesia, Egypt, the Philippines, and Thailand.

We have also supported a tree planting organisation, planting organisation here in the UK. For every tonne of CO2 saved one tree is planted.

Why is decision-making more complicated than it should be?

Effective decision making relies on processing information but is complicated by limited data, numerous options, and involved stakeholders. A flexible, iterative approach ensures collaboration, prevents premature conclusions, and allows for refinement. Like creating a song, this process evolves as collaboration shapes the final outcome, often differing from the initial vision due to constraints.

Decision making can be expressed simply as the effective processing of information to a desired outcome. Decision making is complicated by three factors:

1. The level and quality of information available
2. The number of potential options
3. The number of stakeholders who will influence, be involved in or be affected by the outcome

Quality of information

‍The large spread of variables within these three elements means that it is almost impossible for diverse groups and information points to make the optimal decision in a timely, efficient manner using traditional methods. Complexity can exist for decisions from the most operational, task-level questions and problems, through to the existential level of organizational ethos, values and purpose. It is important to consider all decision levels when designing and leading change.

Answering the right question

A good decision-making process optimizes a group’s ability to work information in a collaborative way, to make good, sustainable decisions. The process is flexible – allowing a group to explore, build, test and iterate in the appropriate way, at the appropriate time for their work. This ensures the group is not “answering the wrong question” and engages all stakeholders in the authoring of their outcomes. It is important that the group does not come to closure too soon – thereby cutting off unexplored options that may be useful.

Iterative process

‍‍
Successful decision-making is a creative process. Ludic’s design-led approach to decision-making is outcome-focused and iterative. It requires concepting, building, testing and iteration. The journey may not be linear – in fact it is often necessary to move backwards and forwards, as we learn more about the challenge in hand and the context in which the solution must fit.
‍
Consider the process of writing a song, for example. Until the tracks are laid down in the studio, the musicians, songwriters and lyricists often have different ideas, regardless of how they have struggled to communicate them to one another. But once the song begins to materialize digitally, the process becomes necessarily collective and the fields of visions collapse into the various takes, one of which will be packaged for distribution and consumption.
‍
This doesn’t necessarily mean that the artists are completely satisfied with the fidelity of the finished product to the original vision. Constraints of ability, budget, timelines and other factors will have modified the vision and the finished product may be quite different. This doesn’t imply that the first half of the process excludes collaboration, for quite the opposite is the case. Collaboration is a necessary component of every stage. So is independent work.

Virtual Coaching - Pride and Prejudice

“Advances in technology have proven that virtual coaching can be just as effective as face-to-face sessions, offering the same personal connection while delivering significant cost and time savings. With flexible, global access and seamless user experiences, virtual coaching is becoming a compelling alternative. Companies must adapt to this digital shift or risk falling behind.” Paul Miller, Ludic Faculty Director

Until recently, the common belief was that business is best done in person: that’s meetings, training, conferences, networking, events, sales and more. And especially executive coaching. Everyone knows that. That’s why so many Coaching and training companies still have faith in the continuation of live interaction: you can’t beat face-to-face.

Apart from it’s not necessarily true.

Despite my pride as a coach and prejudices regarding IT I’ve found that the results and evaluation feedback for virtual is almost identical to that of high-quality fact to face coaching. For example, at the conclusion of a global transformation program that included 2000+ coaching hours we received 98% satisfaction scores, real world results, and comments that range from ‘very helpful’ to ‘life-changing’. Interestingly, there was not a single comment from 600 participants suggesting it would have been better face-to-face.

So, what accounts for the success?

It was always predicted that digital would change everything, but it has been an adolescent masquerading as a grown up. Now it’s come of age. There’s been a step-change: virtual platforms are more stable, bandwidths wider, software more capable, laptops more powerful, users more accomplished, solutions more evolved. Now with high-speed internet, great quality audio and a HD webcam, I’m sat in front of my 29” screen looking at a life size person, and we can share screens; we can even record the session and download it.

100% results, zero air miles

An even more compelling reason for success is that, economically, virtual (that’s coaching, training, conferences, you name it) is the Holy Grail. There are no travel costs, no time lost to travelling, no venue hire, no accommodation to provide, no catering, and a portal completely outsourcing the heavy lifting in the organization and admin of the programme. This means that large organizations are investing in getting this right – they want it, it’s too compelling a proposition to by-pass.

Did I mention choice and flexibility?

Virtual removes time and distance, so it’s now possible for the same client to choose from a global faculty, and everything is done through a portal: They can read the bios, make a language or cultural fit, access the coaches calendar and book a session, message, share articles and resources, and more - it’s made it easy, it’s made it painless.

But what about the personal connection?

At the beginning, I doubted that something so intimate and personal as coaching could survive the technological transplant. Actually, it’s a testimony to the power of coaching that deep intimacy is possible even through headphones and a screen. My fellow coaches report the same experience: insights still abound for clients, meaningful action still happens, tears still come when appropriate, obstacles and limiting beliefs just as readily identified, and people reach goals, large and small. The beating heart of coaching, the art of assisting others to realize their potential, is still in good shape. Happily, it seems, it can survive the journey through the ether. The question is, can coaching and training companies survive the digital transformation if they don’t adapt?
